Sharing Microsoft Outlook Calendars – The Right Way

You use Exchange and Outlook and want to share your calendar  with somebody else in your organization so they can see your Free/Busy or perhaps even see every individual detail.

Solution

First, if you are messing with permissions, you are doing it wrong.

In this example, we’ll share your Calendar.

I am using Outlook 2013 and Microsoft Office 365 for this example. Note that this works EXACTLY the same way in Outlook Web Access (OWA). Same steps. The only difference is that OWA allows you to offer even more control, while Outlook only provides a View-only share mode.

  1. Open Outlook.
  2. Click on Calendar.
  3. Right-click the Calendar to share.
  4. Click on Share->Share Calendar.
  5. Outlook will pop open a Share invite. Add the people you want to share the calendar to.
  6. Note that Details lets you select how much of the calendar detail the other user can see. Often you only want to share Free/Busy.
  7. Click Send.
